Supplier due diligence
How to Verify an Authentic Perfume Wholesale Supplier
The safest verification process checks the company, the offer, the transaction and the received goods as one connected chain.
Verify the business identity
Collect the seller's legal or trading name, business address, domain, sales contact and invoice details. Check that these elements tell a consistent story. A recently created website is not automatically fraudulent, and an old domain is not automatically safe, but unexplained inconsistencies deserve follow-up.
Contact the company through a channel published independently from the payment request when practical. Confirm that the person issuing the quote is authorized and that the payment beneficiary is expected.
Test the quality of the product data
A professional supplier should be able to specify what it is selling. Look for full product name, concentration, size, condition, market version where relevant, case quantity and SKU or UPC when available. Vague rows such as brand name plus a price are difficult to audit.
Ask how often the stock list is updated and whether availability is reconfirmed before payment. Wholesale inventory is dynamic, so a credible supplier may qualify its answer rather than promise permanent stock.
Review transaction and claim controls
Request a final order confirmation that includes products, quantities, pricing, freight, destination and expected timing. Read the supplier's terms for shortages, transit damage and product discrepancies before you pay.
Treat sudden changes to bank, wallet or payment instructions as a new verification event. Confirm changes through a known contact channel rather than replying only to the message that announced them.
- Invoice or written order confirmation
- Clear payment recipient and currency
- Dispatch origin and shipping responsibility
- Claim window and evidence requirements
- Written approval process for substitutions
Use a risk-based test order
When possible, begin with a commercially meaningful but controlled order. A test should evaluate communication, product accuracy, packing, dispatch and receiving—not only whether one sample bottle smells acceptable.
Do not let a small successful order eliminate all controls on a much larger one. As the exposure grows, reconfirm terms, payment details and item availability.
Close the loop at receiving
Photograph cartons before opening, preserve labels, count units and match item identifiers. Keep questionable goods separate while the supplier reviews them. Record the result of every claim and the time required to resolve it.
Over several orders, your own supplier scorecard becomes stronger evidence than a single online review. Track accuracy, condition, lead time, communication and claim outcomes.
Frequently asked questions
Can online reviews prove a wholesaler is legitimate?
Reviews can be one signal, but they can be incomplete or manipulated. Combine them with business identity, product data, transaction controls, test orders and your own receiving records.
Is an authorized distributor the same as a wholesaler?
Not necessarily. Authorization is a specific relationship that should be supported by evidence. Do not assume every reseller or wholesaler is authorized by each brand it carries.
